ABOUT THE ROLE:

Air Traffic Control

Are you the calm in the eye of the storm? The master of organized chaos? Do you thrive on ensuring every piece is in its right place for a perfect takeoff? If so, we want you to be our new Client Coordinator - boring corporate name. We call this role "Air Traffic Control" because you are the first point of contact for all of our clients' and will be coordinating multiple clients and ensuring everything is smooth for take-off.

Your focus is not on the destination, but on the flawless departure. You are the first point of contact, the master of the pre-flight checklist who ensures every detail is in place before handing the client off to the Guest Experience Manager (GEM) to book their trip. Armed with operational awareness and a passion for seamless coordination, you’ll guide our travelers through the initial steps of their adventure. This role is about more than just managing a queue; it’s about setting the foundation for a handcrafted journey.

📡 Mission Control: Live into your passion for clear communication. As the first and central point of contact, you'll field questions, manage communication sequences, and ensure every traveler is contacted from the very beginning. Your role? You will work inside Gmail and Hubspot for the greater part of your day communicating with clients preparing them to be introduced to their GEM.

🧭 Expert Navigator: From the moment a traveler enters our system, you’ll be their guide through the initial phases. You'll use judgment to assess their readiness to book their trip, discern their needs, and clear them for the next stage, ensuring they are handed off to the perfect Guest Experience Manager for their unique journey.

🤝 Seamless Handoff Specialist: You're the critical link between a dream and its execution. You’ll coordinate closely with our Guest Experience Managers, liaising on availability, workload, and trip expertise to guarantee a perfect handoff. Your work ensures our internal operations are flawless.

RESPONSIBILITIES

  • Lots of emails, handling initial outreach to thousands of trip winners annually

  • Serve as the first point of contact for travelers, responding to general questions with clarity and guidance

  • Enroll winners into email sequences and follow up email sequences in Hubspot

  • Manage tasks and traveler data with precision

  • Assess traveler readiness and use judgment to assign them to the appropriate Guest Experience Manager

  • Answer basic questions about our experiences with clients - until they are ready to book their trip

  • Coordinate closely with Guest Experience Managers to align on handoffs based on availability, workload, and trip expertise

  • Identify ways to improve the Air Traffic Control position

  • Manage thousands of clients with clear and prompt communication

  • Participate in problem-solving and presenting solutions to the team

  • Attend quarterly team gatherings; at least two will be in Southern California

  • Participate in weekly meetings, Slack, and Asana projects

ABOUT THE IDEAL CANDIDATE

  • Self-starter, 100% remote means no babysitter; you manage your schedule like a grown-up

  • Experience in guest services, hospitality operations, or high-volume administrative/support roles

  • Growth mindset…this is the way

  • Proficient in Google Workspace is a must

  • Prior Hubspot knowledge is a plus

  • Strong verbal and written communication skills, especially when it comes to email communication

  • Time management and organizational skills - must have and no exception

  • Accepts feedback well and grows from it

  • Proactive and an independent problem solver

  • Excellent customer service skills is a must
